Title:                      Charity Administrator

Salary:                   £9.80 per hour, 2 year fixed term contract with view to extend based on funding

Hours:                   The suggested working week is thirty hours a week but negotiable, working between Monday and Friday

Location:               Silx Teen Bar, 5 Church Street, Blyth, Northumberland NE24 1BG

Responsible to:    Trustees

Responsible for:  Administration duties agreed by the Trustees and Senior Youth Worker

People and Drugs (Silx Teen Bar Youth Service) is the largest youth delivery provider in the Blyth area. We are looking for an administration worker to provide the Trustees, Funding Officer, and Senior Youth Worker with administrative support and information in order to function as an organisation, and to maintain the finance system.

Summary of Duties

  • Recording all charity financial information using Sage50 Accounting software
  • Producing spending reports for the Trustees and Development Manager
  • Keeping records of subcontract spending and sending invoices to partner organisations
  • Recording attendance and tracking using the UpShot system
  • Banking duties including keeping a petty cash system, counting tuckshop takings and banking them, and paying suppliers
  • Maintaining a record of all young people who visit the premises and keeping this updated in line with GDPR regulations
  • Updating Microsoft Publisher documents including the annual report and company leaflets
  • Maintaining records of staff holidays and sickness and preparing wage timesheets to send to Payroll services
  • General administration duties including collecting the post, answering the telephone, forwarding emails to relevant staff, ordering stationary, booking taxis, arranging repairs, and writing letters

Person Specification

  • Must be experienced in using Sage accountancy software and an opportunity for further training
  • Experience of maintaining financial and statistical information
  • Has experience of working within administration or an office environment
  • Proficient in the use of Microsoft Word and Excel, and experience of Microsoft Publisher is desirable
  • Positive attitude towards information technology
  • Good time management and organisational skills
  • Ability to communicate effectively
  • Ability to use own initiative and work unsupervised
  • Good sense of humour
